What I found on your site

All of it verifiable in a few minutes, before you've paid me anything.

Your fee schedule page is live, and it's broken.

It sits at /fee-schedule/, set to be indexed by Google, and it is not in your navigation — invisible to patients browsing, fully visible to Google. The indexed version lists "One-on-One Coaching" twice and duplicates the entire Genetics/Nutrition block verbatim. "Check It Out Now" links nowhere.

You told me this page was stuck. It isn't stuck. It's published, in the worst possible state, in the one place you'd least want it.

Your blog hasn't published since November 2023.

Your own sitemap shows the fifteen most recent posts all dated 2023. Two blog posts a month is a line item in every bundle you've been quoted.

There is no structured data anywhere on the site.

No MedicalOrganization, no Physician, no LocalBusiness schema. It's the single highest-leverage technical fix you have, and it governs both local search and whether ChatGPT describes your practice accurately. Patients are finding you through AI search despite the site, not because of it.

You're running two analytics containers at once.

Two separate Google Tag Manager containers load on your homepage. Duplicates routinely double-count conversions and corrupt attribution — a very plausible reason nobody can give you a straight answer on ad ROI. The numbers may be wrong at the source.

Also: your health coaches page hasn't been touched since January and the nutrigenomics page since May of last year · stock photography throughout while your own library sits unused · and the Go High Level nurture sequences aren't running, though they're on the invoice.

Phase one · months 1–4

Understand it, plan it, rebuild it

You said the monthly strategy meetings just fell off. So this isn't only a rebuild — it's me getting my arms all the way around how your practice runs digitally, writing the plan down, and executing the first piece of it.

Week one

The fee schedule page ships, correctly

Duplication gone, links working, images captioned, and linked in your navigation where patients can find it. I'd rather close the thing that's been open two months than open with strategy talk.

Month one

Systems audit, then a real marketing plan

WordPress, Go High Level, GoDaddy, Bionic, Shopify and your MD HQ portal — what each does, how they connect, where they don't, and what you're paying for twice. Nobody has that picture right now. You'll have it written down.

Then the plan: who you're reaching, which channels reach them, what happens after someone finds you, and what we execute in what order. Plus working sessions with you and Maddie to decide what patient nurture should actually look like.

Month two

Rebuild begins · nurture goes live

Your site rebuilt in Astro and hosted on Cloudflare — pre-built pages instead of pages assembled on every visit. Dramatically faster than WordPress, and speed is a direct ranking input. It also retires your Bionic hosting bill and the plugin-maintenance surface underneath it.

And whatever we land on in month one gets built in Go High Level and switched on. Regardless of anything else here, you will have sequences actually running.

Months three & four

Cut over and measure

You approve the new site on a staging URL first — nothing goes live until you've clicked every page and said yes. Then schema, llms.txt so AI models read you accurately, technical SEO cleanup, tracking rebuilt on one clean container, provider pages restructured so adding someone takes five minutes, and your photo library replacing the stock images.

Ending with your first monthly report that has working attribution behind it.

Your patient portal and Shopify store stay exactly where they are — I don't touch systems holding patient information, and I'm not proposing to migrate your CRM. Cadence through these four months is weekly, with you and Maddie.

Functional medicine is a trust purchase. You're cash-based; nobody hands you that kind of money because the copy read well. They do it because they believe the practitioner.

Dr. Kruppstadt is a board-certified pediatrician, IFMCP-certified, appointed by the governor to the state PANS advisory council — and all of it currently sits in body text on an About page. On camera, in her own voice, on the homepage, it becomes the most persuasive thing you own.

Two to three minutes, scripted together, shot on location, properly lit and mic'd, edited and placed. While I'm there I'll capture provider headshots and B-roll for the rest of the site too, so the stock photography can go for good. It's the piece I'm most looking forward to making.

Straight with you on Option B: large-scale paid ads management is the one thing on your list I haven't done. So I own the strategy, the tracking, the landing pages and the reporting, and account execution sits with your team — Maddie's the natural fit, and this gives her a real shot at it with someone doing the measurement alongside her.

That split is deliberate. Your ads have been managed for years and you still can't tell me what they return. I'd rather own the part that makes the spend measurable than charge you for a black box. Which is also why I'd say this: don't spend another dollar on ads until the tracking is fixed. Pause them through phase one or have Maddie hold them steady — either costs you nothing you can currently measure. By month five you'll have real attribution, and this decision gets made on data instead of a hunch.

Priced for what's in it. The rebuild and the video are amortized across the first four months, so there's no lump sum to approve.

Your monthly never goes up. After four months it holds, or it drops — and the rebuild, the plan and the video all sit inside the first number rather than on top of it.

The one term

Phase one is a four-month engagement — $3,800 per month, $15,200 total, invoiced monthly. Because the rebuild and the video are spread across those four months instead of paid up front, ending phase one early doesn't reduce that total: the remaining monthly payments are still due. That's the tradeoff for not writing a five-figure check on day one, and I'd rather state it precisely than bury it. From month five onward it's month-to-month — cancel any time, no notice period, nothing owed beyond the month you're in.

What "unlimited edits" means

Copy changes, adding or updating a provider, swapping photos, publishing a prepared page, fixing links, updating hours or services — unlimited, 48 business hours. Work that's a build rather than an edit, like a new page designed from scratch or a third-party integration, I scope and quote before starting. No surprises in either direction.

I'm one person. That cuts both ways — no bench, so I'm honest about capacity, and I've told you exactly where paid ads sits. But everything that leaves my hands, I've looked at myself. That's the only reason I could tell you what was wrong with your fee schedule page before you hired me.
