Grace, it was great talking today and I'll definitely thank Nicole for the introduction.

You asked what Functional Medicine Marketing is doing and what I could take over. I've been through their proposal, your task list and your site.

I can cover all of it. I'd do it in two phases: four months of intensive work, then a lighter ongoing arrangement at a lower monthly.

First

What I found on your site

You can check all of this yourself in a few minutes.

Your fee schedule page is live, and it's broken.

It sits at /fee-schedule/, set to be indexed by Google, and it isn't in your navigation. Patients browsing the site can't find it. Google can. The published version lists "One-on-One Coaching" twice, repeats the entire Genetics/Nutrition block, and the "Check It Out Now" link goes nowhere.

You mentioned this page had been stuck for two months. It's been live the whole time.

Your blog hasn't published since November 2023.

Your sitemap shows the fifteen most recent posts all dated 2023. Two posts a month is a line item on your current plan.

Only Google is authorized to send email from your domain.

Your SPF record permits Google Workspace and nothing else, and your DMARC policy requires strict alignment. So any campaign platform sending as get2theroot.com is unauthenticated, which is how bulk email ends up in spam. Adding the right DNS records takes minutes, and it's a precondition for nurture email working at all.

There's no structured data on the site.

No MedicalOrganization, Physician or LocalBusiness schema anywhere. It's the highest-leverage technical fix available to you, and it drives both local search and how accurately ChatGPT describes your practice. Patients already find you through AI search, and that's happening without any help from the site.

Two analytics containers are running at once.

Two separate Google Tag Manager containers load on your homepage. Duplicates double-count conversions and break attribution, which would explain why nobody can give you a clear answer on ad performance.

Also: your health coaches page hasn't changed since January, the nutrigenomics page not since May of last year. Stock photography throughout while your own library sits unused. The Go High Level nurture sequences aren't running. And a third-party service is collecting email authentication reports on your domain.

Phase one · months 1–4

Understand it, plan it, rebuild it

You mentioned the monthly strategy meetings tapered off. Phase one is partly about fixing that: understanding how the practice actually runs digitally, writing the plan down, and starting on it.

Week one

The fee schedule page ships correctly

Duplication removed, links working, images captioned, and linked in your navigation. I'd rather close a two-month-old item than open with strategy.

Month one

Systems audit, then the plan

WordPress, Go High Level, GoDaddy, Bionic, Shopify and your MD HQ portal: what each does, how they connect, and what you're paying for twice. You get a written asset register listing every account, who owns it, who pays it and who has access.

Then the marketing plan. Who you're reaching, which channels reach them, what happens after someone finds you, and what order we work in. Plus sessions with you and Maddie to decide what patient nurture should look like.

Month two

Rebuild begins, nurture goes live

Your site rebuilt in Astro on Cloudflare. Pages become pre-built files rather than assembled on each visit, which is considerably faster than WordPress, and speed affects ranking. It also retires the Bionic hosting bill.

Whatever we agree in month one gets built in Go High Level and switched on. You'll have sequences running regardless of anything else here.

Months three and four

Cut over and measure

You approve the new site on a staging URL first. Nothing goes live until you've clicked through it and said yes.

Then schema, an llms.txt file so AI models read you accurately, technical SEO cleanup, tracking rebuilt on a single container, provider pages restructured so adding someone takes five minutes, and your photo library replacing the stock images. Ending with a monthly report that has working attribution behind it.

Your patient portal and Shopify store stay where they are. I don't touch systems holding patient information, and I'm not proposing to move your CRM. Cadence is weekly through these four months, with you and Maddie.

Normally $2,000. Included.

Functional medicine is a trust purchase, and you're cash-based. People commit because they believe the practitioner.

Dr. Kruppstadt is a board-certified pediatrician, IFMCP-certified, appointed by the governor to the state PANS advisory council. All of that currently sits in body text on an About page. On camera, in her own voice, on the homepage, it becomes the most persuasive thing on the site.

Two to three minutes, scripted together, shot on location, properly lit and mic'd, edited and placed. While I'm there I'll get provider headshots and B-roll for the rest of the site, so the stock photos can go.

Phase two · month five onward

Then it gets lighter

Once the site is rebuilt, the plan is written and nurture is running, the work changes shape. You pick one of two.

On Full Digital, I'd own the direction and the measurement: what campaigns run, against which offers, at what budget, and how we know it worked. Day-to-day account execution stays with your team, working to that plan. Maddie already sits in that seat alongside your current agency, so the change isn't more work for her, it's a clearer brief and someone handling the numbers with her.

That split is how I'd run it whoever was in the seat. The hard part of paid search isn't operating the ad account, it's deciding what to spend against what and being able to prove what came back. Which is also why I'd fix the tracking before adding budget: you can't currently tell what the spend returns, and there are two conflicting analytics containers on the site. Pause through phase one or hold steady, and by month five you'd be making this call on real numbers.

Before anything moves

Everything in your name

The bigger issue isn't any single item above. It's that you may not own the accounts your practice runs on.

Your task list mentions "payment of hosting renewals" and Go High Level "platform access." Both describe accounts held by someone else on your behalf. If that's right, the day the relationship ends is the day you find out what you actually control.

A Go High Level sub-account set up by an agency belongs to that agency. Your patient contacts, conversation history, text records and phone numbers sit inside it. Under the platform's own rules the outgoing agency has to initiate any release, and phone numbers are deleted fourteen days after cancellation.

  • Your review platform, Shopify store, and the directory listings built for you

Month one produces the asset register: every account, who owns it, who pays it, who has access, and a recovery plan for anything not already in your name. Nothing moves until you've read it, and nothing is said to your current vendor until your data is in your own hands.

From here on, every account I open is in Hope for Healing's name, billed to you, with me added as a user you can remove. You should be able to end this on a Friday and lose nothing but me.

The rebuild and the video are spread across the first four months, so there's no lump sum to approve.

Your monthly doesn't increase. After four months it either holds or comes down, and the rebuild, the plan and the video sit inside the first number rather than on top of it.

Term

Phase one is four months at $3,800, $15,200 total, invoiced monthly. Because the rebuild and the video are spread across those months rather than paid up front, ending early doesn't reduce the total: the remaining payments are still due. From month five it's month to month. Cancel any time, nothing owed beyond the month you're in.

What's included

Site edits and new pages are part of the monthly: copy changes, adding or updating a provider, swapping photos, building out a new service or condition page, fixing links, updating hours. Turnaround on routine requests is 24 to 48 hours. If something becomes a genuinely large project, like a second site or a custom integration, we'd scope it separately. Short of that I'd rather just build the page than count it.

What the fee covers

The monthly covers my work. Software and ad spend are billed directly to you, in your own name. I won't resell you platform access at a markup, and I'll tell you what a tool costs before you buy it. Recovering accounts held by someone else is included if the handover is cooperative; if it becomes a formal ownership dispute with Google or Meta, I'd scope that separately.

  3. Domain manager access at GoDaddy, for the DNS cutover. Your email records stay exactly as they are: I document them first and verify mail flow after.

  5. A yes on phase one. The month-five decision can wait until you've seen the work.

I'll invoice month one and we'll set a kickoff inside the week. The fee schedule page is fixed within the first five business days. That's the part I'd judge me on before anything else.

You'd be hiring one person who looks at everything.

That's the tradeoff, and at your size I think it's the right one. Nothing gets passed to somebody who has never seen your site, and you always know who to call.
